Site Selection for 2007 Annual Meeting and Student Research Conference:
The Committee on Meetings met by conference call on August 24, 2004 to consider site selections for the Annual Meeting and Student Research Conference. Committee members participating in the call were Patrick D. Sculley, Chair; Gretchen Edwalds-Gilbert, Richard F. Hamaker, and Diana-Marie Spillman. Staff members in attendance were Evan Ferguson, and Dee Windley.

As previously suggested by the Committee, in order to maintain confirmed bookings a minimum of three years in advance, a site search was conducted and recommendations submitted for holding the 2007 meeting in the Southeast Region.

The Committee voted to hold the 2007 Annual Meeting and Student Research Conference at the Rosen's Shingle Creek Resort and Golf Club in Orlando, Florida. The meeting dates will be November 1-4, 2007. The Committee empowered Dee Windley, staff liaison, to negotiate a most favorable contract with the Hotel on behalf of the Society. A fully executed contract was signed on August 26, 2004.

Annual Meetings currently contracted include:
2005-Westin Seattle, Seattle, Washington, November 3-6, 2005
2006-Detroit Marriott Renaissance Center, Detroit, Michigan, November 2-5, 2006
2007-Rosen's Shingle Creek Resort and Golf Club, Orlando, Florida, November 1-4, 2007

In keeping with the approved rotation schedule for the Annual Meeting and Student Research Conference, the 2008 meeting will be in the Mid-Atlantic Region, the 2009 meeting will be in the Southwest Region, and the 2010 meeting will be in the Northeast Region.

Use of the Sigma Xi Center:
After discussion regarding the Society renting function space to non-scientific groups (wedding receptions, realtors meetings, corporate retreats, non-science organizations such as the Girl Scouts, church groups, etc. were given as examples of non-scientific groups that might request space), the Committee recommended that the Society expand the use of the building to non-scientific groups to earn non-dues revenue for the Society as long as no group uses the facilities to make a political statement, or engages in activities that would embarrass the Society.

After some discussion, and considering information gleaned from an informal legal review, it was determined that renting the building to non-scientific groups would not jeopardize the Society's tax free status, and that the Society would not be liable for Unrelated Business Income Tax (UBIT).

The Committee agreed that advertising the space would be a good idea. Advertising for the Center has been by word of mouth through other organizations in the Triangle Park area. Dr. Sculley stated that support staff for the operations of the Center is limited, and that increased staff would be required to maximize building usage in the future.

Dr. Sculley agreed to waive the rental fee for Center space if a chapter wants to use the facilities for an annual chapter meeting.
